How to use this calculator
- Pull your real monthly call volume from your phone system, VoIP dashboard, or Google Business Profile call history.
- Find how many of those calls were missed, unanswered, or went to voicemail without a call-back, and enter that as a percentage.
- Enter the average value of a booked job. Use gross profit instead of revenue if you want a conservative view.
- Enter the close rate you achieve on calls that turn into genuine sales conversations.
- Open Advanced assumptions and change the recovery rate to something your own call data supports, then compare the result at a few different rates.
Methodology: every formula in plain English
- Missed calls per month = monthly calls × missed-call percentage. If you take 200 calls and miss 20%, that is 40 calls.
- Potentially recovered calls = missed calls × recovery assumption (default 70%). This assumes an automated answering system picks up most, but not all, of the calls your team currently misses.
- Potential recovered qualified opportunities = recovered calls × close rate. This converts answered calls into likely booked work.
- Estimated recovered revenue = qualified opportunities × average job value.
- Estimated monthly ROI = (estimated recovered revenue − monthly cost) ÷ monthly cost × 100. It compares modelled revenue against the subscription cost, not against your total cost of doing the work.
- Estimated annual recovered revenue = monthly recovered revenue × 12, which assumes a flat twelve-month year with no seasonality.
What this calculator does not account for
- Seasonality. Most service businesses have peak and slow months; the annual figure simply multiplies one month by twelve.
- Lead quality. Recovered calls are not all buyers. Spam, vendors, and job applicants all ring the same number.
- Duplicate calls. The same person calling three times counts as three calls in most phone reports but is one opportunity.
- Existing staff coverage. If someone already returns voicemails reliably, part of the modelled recovery is revenue you would have captured anyway.
- Customer lifetime value. Average job value ignores repeat work and referrals, which can make the model conservative.
- Cancellations and no-shows. A booked job is not always a completed, paid job.
- Attribution uncertainty. It is genuinely hard to prove that a specific recovered call would otherwise have been lost.
